All sample fees are 100% credited as a deduction from your first production order invoice, provided the order is placed at or above MOQ (500 units for catalog, 1,000 units for custom). You effectively pay for samples only if you decide not to proceed — which is rare given our 67% sample-to-order conversion rate.
How many samples can I order at once?
Standard sample orders are capped at 5 SKUs per request. This limit is deliberate: evaluating more than 5 products simultaneously reduces the quality of your evaluation — sample fatigue is real, and systematic comparison becomes difficult above 5 items. If you need to evaluate more than 5 products, we recommend a two-phase approach: order the 5 most relevant products first, evaluate, narrow to your top 2–3, then optionally order a second sample set. Your account manager can help prioritize which 5 are most appropriate for your brief.
What quantity does Flavor Sources ship for each sample?
Catalog product samples are shipped in the standard retail unit — the same packaging and fill volume that would appear in a production order. For example, a 50ml facial serum sample is a complete 50ml unit in the standard bottle. This gives you an accurate quality benchmark, including testing the packaging dispensing mechanism. For custom formulations, samples are typically supplied in 30–50ml quantities in a standardized evaluation container (not final retail packaging). Final packaging compatibility is tested separately in the production approval process.
Can I request samples with my own label or branding?
Flavor Sources ships catalog samples with our standard white/neutral label showing the product name, batch number, production date, key claims, and ingredient INCI list for your reference. Custom branded sample labels (with your brand name and artwork) can be arranged for an additional $20–$35 per SKU and require artwork submission in advance. Custom branded samples are particularly useful for trade show presentations, investor demos, or consumer testing before production commitment. Do you offer free private label skincare samples?
Flavor Sources does not offer free samples. Our sample fee policy exists for a specific reason: it filters for serious prospective buyers and covers our actual costs of formulation preparation, packaging, and shipping logistics. A manufacturer offering “free samples” either builds the cost into their production pricing (you pay eventually) or sends samples that are not representative of actual production quality. Our $25–$45 sample fee is credited 100% against your production order — making it genuinely cost-neutral if you proceed. We believe this is more honest than a “free sample” program that obscures real costs.
Can I request custom formulation samples before committing to production?
Yes. Flavor Sources develops custom formulation samples through our in-house R&D laboratory. The process: you submit a formulation brief (key claims, target ingredients, skin type, texture preference), our formulator develops a prototype (3–6 weeks), and you receive a sample for evaluation. Custom sample fee is $80–$150 per SKU, credited to your production order. If modifications are required after evaluation, one round of adjustment is included in the initial fee. Additional modification rounds are $40–$80 each. Custom formulation ownership is confirmed before sample work begins — the resulting formula is your IP.
What documentation is included with my sample shipment?
Every Flavor Sources sample shipment includes: batch information card (product name, catalog code, batch number, production date, expiry date), abbreviated INCI ingredient list, relevant certifications applicable to the product (ISO 22716, ECOCERT if applicable, Halal if applicable), Flavor Sources contact details for follow-up questions, and a Sample Evaluation Scorecard with instructions. For custom formulation samples, a preliminary stability data summary is included. If required for customs clearance, a commercial invoice and product description for import purposes are included in the shipping documentation.
How do I evaluate private label skincare samples professionally?
Professional sample evaluation uses the 8-point scorecard above: first impression texture (score 1–5), application and absorption, scent profile, packaging compatibility, claimed efficacy impression (after 72-hour use), stability observation (compare sealed vs. open-cap 48-hour sample), competitive benchmark comparison, and overall consumer retail readiness. Evaluate with a minimum of 3 people independently and average scores. A score of 4+ out of 5 on criteria 1, 4, 5, and 8 indicates a production-ready product. A score below 3 on criteria 6 (stability) is a disqualifying concern regardless of other scores.
What happens if I’m not satisfied with the samples I receive?
If the samples don’t meet your requirements, your account manager schedules a feedback call to understand specifically what didn’t match your expectations. Options include: (1) Modified formulation — adjusting texture, scent, active concentration, or pH within the existing base (low additional cost); (2) Alternative catalog selection — a different formula from our 400+ catalog that better matches your criteria; (3) Full custom development — if no existing formula is close enough, commissioning a bespoke formulation from brief. The sample fee for the unsatisfactory samples remains credited to your production order if you proceed with any Flavor Sources product — not exclusively the original samples requested.
